Office Administrator, Field & Documentation

Dubai, UAEFull-timeHybridReports to Operations Lead

About the role

Every facility on Spanzia is physically verified, not self-reported. That verification does not happen from a desk. Someone has to go to the warehouse, photograph it properly, collect the paperwork, check it is real, and get it into the system clean. That someone is you.

This is a hybrid admin and field role. Part of your week is out on site at warehouse facilities across Dubai; the rest is documentation, records and keeping the day-to-day running. It suits someone organised, self-directed and comfortable being the person who actually gets things done.

What you will do

Field & site visits

  • Travel to warehouse facilities across Dubai to carry out verification visits.
  • Photograph and video facilities to a consistent standard: external, dock doors, clear height, flooring, racking, loading bays, office space and amenities.
  • Capture on-site measurements and observations against our verification checklist.
  • Meet warehouse operators and their site teams, and represent Spanzia professionally on the ground.
  • Flag anything that does not match what was declared.

Documentation & records

  • Collect, check and file operator documentation: trade licence, Civil Defence certificate, bonded status, lease or title documents, insurance, and relevant certifications (food, DG, pharma, lithium-ion).
  • Chase missing paperwork until the file is complete.
  • Enter verified facility data into our database accurately and consistently.
  • Maintain the media library: organised, named, tagged and retrievable.
  • Keep the operator pipeline and status records up to date.

Office & coordination

  • Schedule site visits and coordinate calendars across the team and warehouse partners.
  • Handle day-to-day office administration: supplies, courier, vendor coordination and visitor arrangements.
  • Support invoicing, expense records and petty cash.
  • Assist with government and licensing paperwork as needed.
  • Take and circulate meeting notes, and follow up on actions.
  • Support the wider team on ad-hoc operational tasks.

What we are looking for

Essential

  • 1 to 3 years in an administrative, operations or coordinator role in the UAE. Logistics, real estate or facilities experience is a strong plus.
  • Genuinely willing to be out in the field. This is not a desk-only role, and warehouse environments mean heat, dust and industrial areas.
  • Strong English communication, written and spoken.
  • Confident with Excel and Google Sheets and general digital tools, and comfortable learning a new platform.
  • Meticulous with detail. Our credibility rests on the accuracy of these records.
  • Able to work independently and manage your own day without close supervision.
  • Valid UAE residence visa with own sponsorship or NOC. We are not able to provide visa sponsorship for this role.

Preferred

  • Valid UAE driving licence and own vehicle (travel allowance provided).
  • Arabic in addition to English.
  • A good eye for photography. You do not need to be a professional, but you should be able to shoot clean, well-lit, usable images on a phone or camera.
  • Familiarity with Dubai's industrial and free zone areas: JAFZA, Dubai South, DIP, Dubai Industrial City, Al Quoz and Ras Al Khor.
  • Exposure to warehousing, logistics or commercial property in the UAE.

What you will get

  • A role with visible impact: the verified UAE warehouse network you build is the product at launch.
  • Direct exposure to the UAE warehousing and supply chain sector, and to a senior advisory board with three decades in the industry.
  • Early-stage company, small team, and real ownership of your area.

Business Development Lead, Warehouse Partnerships

Dubai, UAEFull-timeField & officeReports to Founder

About the role

This is the commercial engine of the business, and right now it is a build role rather than a maintain role.

Warehouse discovery in the UAE runs on brokers and generic listing portals. Neither matches on what actually matters to a supply chain operator. We are building the alternative, but a matching process is only as good as the supply behind it. Your first job is to go and get that supply: identify the operators who hold real, quality space, get in front of the decision-maker, and sign them onto the platform.

Once we are live, the role widens to the demand side: qualifying business requirements, running the match to close, and holding the relationship afterwards so it renews.

You will own the number. You will also have real influence on how we position, price and package the offer, because you will be the one hearing the objections first.

What you will do

Build the supply side

  • Identify and map warehouse operators, landlords and 3PLs across the UAE.
  • Run structured outbound: calls, LinkedIn, WhatsApp, email and in-person visits.
  • Get to the decision-maker, present the Spanzia proposition, and handle the objections that come with being a pre-launch platform.
  • Negotiate and close partnership agreements, and move operators through verification and onboarding to a live, complete listing.
  • Build genuine relationships with operators. This market runs on trust and repeat contact, not one-off pitches.

Convert the demand side

  • Qualify inbound enquiries and paid-media leads against real operational requirements.
  • Translate a business's needs into a spec our matching process can work with.
  • Run the match through to signed agreement, coordinating with the operator and our advisory team.
  • Own the client relationship after go-live (cadence, reviews, renewal) so accounts stay with Spanzia rather than drifting direct to the warehouse.

Own the commercial function

  • Build and maintain a disciplined pipeline with accurate forecasting, and report weekly on activity, pipeline and closes.
  • Set the outreach playbook (messaging, sequences, objection handling) and improve it based on what is actually working.
  • Manage and coach junior team members and interns running outreach alongside you.
  • Feed market intelligence back to the team: pricing, vacancy, competitor moves, and what operators are really asking for.
  • Work with our marketing partners on lead quality and campaign feedback.
  • Represent Spanzia at industry events, expos and trade forums.

What we are looking for

Essential

  • 4 to 7 years in B2B business development or sales, with a clear record of closing, not just pipeline building.
  • UAE market experience and an existing understanding of how commercial deals get done here.
  • Comfortable with a long, consultative, multi-stakeholder sale. This is not transactional.
  • Genuinely willing to be in the field. Warehouse operators are met at warehouses, not over Zoom.
  • Strong commercial judgement: able to structure a deal, hold a price, and know when to walk.
  • Excellent English, written and spoken, and confident presenting to owners and senior decision-makers.
  • Disciplined with CRM and pipeline hygiene. If it is not recorded, it did not happen.
  • Self-starting. Early-stage means no inherited pipeline, no playbook handed to you, and no one chasing your activity.
  • Valid UAE residence visa with own sponsorship or NOC. We are not able to provide visa sponsorship for this role.

Preferred

  • Background in warehousing, logistics, 3PL, freight forwarding, supply chain or commercial and industrial real estate.
  • An existing network among UAE warehouse operators, landlords or logistics providers.
  • Valid UAE driving licence and own vehicle (travel allowance provided).
  • Arabic in addition to English.
  • Familiarity with UAE free zones and industrial areas: JAFZA, KEZAD, Dubai South, DIP, Dubai Industrial City, Al Quoz and Sharjah Industrial.
  • Experience selling into or partnering with a two-sided platform, marketplace or early-stage venture.

What you will get

  • Ownership of the commercial function at an early-stage venture, with a direct line to the founder and board.
  • Direct mentorship from a board of advisors with three decades in contract logistics across the GCC.
  • The chance to build the playbook rather than inherit one. Your decisions shape how this company sells.
  • A genuine growth path as the team scales beneath you.
